Voicemail

There are several ways to manage your voice messages with the Cisco phone system using Jabber, Outlook, or Unity (the automated system from your desk phone).

Jabber

  • Voice Messages can be found by selecting the “Voice Messages” option.
  • Messages may be filtered by “View” and “Type."
  • New messages will be marked in bold.
  • Messages can be deleted or marked as read by right-clicking on the individual message.
  • Messages marked as read in Jabber will also be marked as read in Outlook.
  • Deleted items will be sent to the recycle bin.
  • To delete messages permanently:
    • Select the “Deleted” option in the “Type” menu
    • Right click on the message and select "Delete Permanently."
  • You can restore deleted items from the "Type" menu, but deleted items will be purged 15 days after initial deletion.

Outlook

  • Voice messages will be categorized as “View Mail” and be included as an attachment. The attachment will be the audio of the voice message.
  • New messages will be marked in bold.
  • Messages can be deleted or marked as “read” by right-clicking on the individual message.
  • Messages marked as “read” in Outlook will also be marked as “read” in Jabber.
  • Items that are deleted in Outlook can still be found in Jabber by using the filters and selecting “Deleted” under "Type."

Unity

To access the Unity system, press the "Voice Message" button on your desk phone.

To access your voicemail box from a different phone line, you will need to dial your extension:

  • On campus: dial * followed by your four-digit extension. This will send you directly to your voicemail box.
  • Off campus:
    • Dial your full number (704.330.####), or
    • Dial 704.330.2722 and enter your extension when prompted (non-DIDs).
    • Once you reach your voicemail box, press * to be prompted for your PIN. Enter your PIN followed by #.

Once you are signed in to the Unity system, there are several options:

Additional Notes and Tips

  • A full listing of all menu options can be found in the Cisco voicemail menu guide (PDF).
  • Jabber, Outlook, and Unity are all synced together. This means that any message deleted from one location will be deleted from all.
  • Messages sent to the deleted items folder will be permanently deleted in 15 days. As long as you regularly delete messages, Unity will purge them.
  • Messages marked as read will be saved and not deleted.
  • If you need to retain messages outside of the aging policies of Unity, you can either:
    • Open the message and select "Save As" in the "File" menu.
    • Create a folder in Outlook and move messages into that folder. This folder cannot be placed under the hierarchy of the inbox folder, or Unity’s aging policies will still be in effect. When you move a message into the new folder, you the message in Jabber will be marked as deleted.
