Inventory Control
The CPCC Inventory Control Department is responsible for:
- Creating and maintaining an accurate database of all College-owned fixed assets (equipment) having a cost of $1,000.00 or more.
- Verifying the locations of, and tracking the movement of fixed assets from one location to another.
- Disposing of excess fixed assets no longer needed by the College,
according to State and local disposal guidelines. - Conducting periodic physical inventories of College fixed assets.
- Preparing and submitting required annual reports, both internally and to State agencies.
- Providing storage for usable excess fixed assets.
Equipment Definitions
- Major State Equipment: any non-consumable item with a life expectancy of 2 years or more, purchased with state equipment funds, with an acquisition cost of $1,000.00 or more, including tax.
- Local Equipment: any non-consumable item with a life expectancy of 2 years or more, purchased with equipment funds other than state funds, with an acquisition cost of $1,000.00 or more, including tax.
- Minor Equipment: some non-consumable items with a life expectancy of 2 years or more, purchased with state equipment funds, and with an acquisition cost of less than $1,000.00, including tax.
Equipment Inventory Number
For the purpose of identification, a bar-coded inventory number tag imprinted with “Central Piedmont Community College” is affixed to each piece of major state or local equipment by a member of the Shipping and Receiving department at the time the equipment is received. This equipment inventory number should be used when reporting loss or thefts, excess or worn-out equipment, or equipment which is to be relocated. In most cases, only major state or local equipment items with a cost of $1,000.00 or more will have a bar-code tag.
Missing/iIlegible Inventory Numbers
If the inventory number tag for a piece of equipment is missing or is becoming illegible due to wear, it should be reported to the Inventory Control department for replacement. Since each item of equipment has its own unique inventory number, the inventory number tag should never be removed or placed on a different
piece of equipment.
Equipment Locations
Prior to delivery, the Shipping and Receiving department contacts the originator of each equipment order to determine the permanent location for each piece of equipment received. For inventory purposes, the permanent location is not the location to which the equipment will be delivered; the permanent location is where the equipment will be permanently housed and used. This is the location which should be provided to Shipping and Receiving personnel.
Note: This information is required by both the CPCC Inventory Control Department and the North Carolina Community College System (NCCCS) in Raleigh to ensure that inventory records are accurate and up-to-date.
Inventory Control Department Location
As part of the Facilities Services Division, Inventory Control offices are located on the second floor of the Facilities Services Center at 1325 East 7th Street, at the corner of Charlottetowne Avenue and East 7th Street.
